Job Responsibilities:
We are seeking a detail-oriented and proactive HR & Administration Assistant to join our team. The ideal candidate will support the administrative and financial operations of the company, ensuring accuracy and efficiency in handling financial records, processing transactions, and managing various administrative tasks. Additionally, the candidate will be responsible for maintaining the cleanliness and organization of the office and pantry.
1. Financial Administration:
- Assist in maintaining accurate financial records, including accounts receivable, accounts payable, and associated reconciliations and ledger entries.
- Process invoices, receipts, payments, and expense claims, ensuring compliance with company policies and accurate, timely transactions.
- Support data compilation for financial reports, budgets, and forecasts as needed.
2. Administrative Support:
- Manage records of subscriptions and renewals (e.g., domains, trademarks) and ensure timely renewals.
- Provide general office support, including answering calls, handling correspondence, and managing office supplies.
- Organize and maintain digital and physical filing systems.
- Coordinate meetings, appointments, and travel arrangements
- Assist with goods collection and delivery as needed.
3. Office and Pantry Maintenance:
- Ensure the office and pantry areas are organized, stocked, and clean.
- Coordinate with service providers to maintain office cleanliness and functionality.
- Regularly check and replenish pantry and office supplies.
- Support setup and cleanup for meetings and company events.
4. Vendor Relations:
- Coordinate with facility personnel and vendors for services such as pest control, air-conditioning maintenance, and general office upkeep.
- Communicate with vendors regarding service billing, payment inquiries, and discrepancies.
5. Information Search, Compliance, and General Support:
- Assist with information searches related to agencies and authorities.
- Ensure compliance with company policies, procedures, and relevant financial regulations.
- Support the preparation of non-manufacturing documentation for reviews.
- Assist in other necessary office administrative tasks as assigned.
6. HR Compliance and Policy Support:
- Ensure compliance with MOM guidelines and relevant labour laws.
- Help maintain and update HR policies and procedures to meet legal requirements.
- Assist in developing and updating employee handbooks to communicate company policies and expectations.
7. Employee Records and Data Management:
- Maintain up-to-date employee records (personal files), including personal information, leave records, employment history, and performance evaluations.
- Support HR-related tasks, such as processing leave requests and updating records as needed.
8. Compensation and Benefits Administration:
- Assist in administering employee benefits programs, such as annual leave tracking and medical claims.
- Ensure all compensation and benefits programs comply with legal requirements.
9. Training and Development Support:
- Assist in coordinating training sessions with in-house trainers or external providers.
- Maintain training records and follow standard operating procedures for training management.

Job Requirements:
- Minimum NITEC qualification with proficiency in Microsoft Office applications
- Previous experience in an administrative or financial role is preferred
- Strong organizational and multitasking abilities.
- Excellent attention to detail and accuracy.
- Effective communication skills, both written and verbal.
- Ability to work independently and as part of a team.
- Problem-solving skills and the ability to handle sensitive information with discretion.
- This role is based in an office setting with standard working hours. Some flexibility may be required depending on the workload
