Responsibilities:
- Provide high level, confidential executive support services to the PVC/CEO including diary management that encompasses all arrangements associated with organising internal and external meetings.
- Efficiently and effectively manage all matters associated with the day-to-day activities of PVC/CEO. These include but are not limited to:
- Attending to all telephone calls
- Managing all incoming and outgoing correspondence using the UON electronic document management system
- Ensuring that appropriate and timely actions are taken/followed up on correspondence and matters that come for the attention of the PVC/CEO Quality and Enhancement including PVC OFFICE committees.
- Drafting, and distribution of correspondence including letters, memos, reports and presentation material.
- Document preparation using Word, Excel, PowerPoint and Adobe and other programs for a variety of audiences and purposes.
- Provision of papers, briefing material and other documentation relating to appointments and meetings for the PVC/CEO Quality and Enhancement and PVC OFFICE committees
- Organising meetings for committees and the PVC/CEO with internal and external stakeholders
- Managing office facilities and supplies including kitchen and catering, maintenance servicing, ITC support and procurement of supplies.
- Support the communication and team building within PVC OFFICE by organizing regular meetings, events and communications.
- Ensure flow of documentation relevant to the PVC/CEO through the Portfolio and relevant committee structures.
- Collate, store and highlight PVC/CEO actions and meeting papers for review by the PVC/CEO.
- Provide maintenance of relevant databases, preparation of presentations and other relevant support functions.
- Ensure that conference and travel arrangements for the PVC/CEO are managed effectively.
- Organise itineraries, visa requirements and conference registration as required.

Requirements:
- Minimum diploma with at least 3 years relevant experience
